<p><strong>Role Overview</strong></p>
<p>RZR’s new Bangalore office at Tablespace Towers is a flagship investment in our culture, talent brand, and employee experience. With 250+ seats and rapid growth, our workspace must operate as a strategic asset—not merely a facility.</p>
<p>The Workspace Manager owns the end-to-end in-office employee experience: from arrival to departure, every touchpoint, every day. This role manages a complex portfolio of vendors, budgets, stakeholders, and operational rhythms while continuously raising the bar for quality and belonging. This is an experience ownership role, not a facilities admin role.</p>
<p><em>Scope includes one direct report and deep cross-functional partnership with People Operations, Finance, IT, and Tablespace building management.</em></p>
<p><strong>Key Responsibilities</strong></p>
<p><strong>1. Workspace Experience & Environment</strong></p>
<ul>
<li>Own the end-to-end employee journey: onboarding day, daily experience, and offboarding touches</li>
<li>Continuously improve all common spaces: collaboration zones, meeting rooms, lounge, reception</li>
<li>Ensure the office reflects RZR’s values: visual identity, cleanliness, ambiance, energy</li>
<li>Oversee seat planning and utilization across 250+ workstations</li>
<li>Lead special initiatives: Friday specials, cultural events, seasonal moments, milestones</li>
<li>Deliver a welcoming, high-energy environment for employees and visitors</li>
</ul>
<p><strong>2. Vendor & Stakeholder Management</strong></p>
<ul>
<li>Own vendor relationships: cafeteria, F&B, housekeeping, security, courier, and others</li>
<li>Negotiate and manage contracts/SLAs; run performance reviews and renewals</li>
<li>Primary liaison with Tablespace management; escalate and resolve proactively</li>
<li>Manage external travel vendor and travel desk operations</li>
<li>Serve as the go-to contact for all employee queries on facilities and logistics</li>
</ul>
<p><strong>3. Food, Cafeteria & Hospitality</strong></p>
<ul>
<li>Own cafeteria operations: menu planning, vendor quality, hygiene, feedback loops</li>
<li>Plan weekly Friday specials and monthly features to drive engagement</li>
<li>Oversee beverages/snacks: restocking cadence, variety, cost alignment</li>
<li>Maintain highest hospitality standards and regulatory compliance</li>
</ul>
<p><strong>3.Travel Desk & Visa Management</strong></p>
<ul>
<li>Operate the in-house travel desk: bookings, approvals, logistics</li>
<li>Coordinate flights, hotels, and ground transport with vendor</li>
<li>Support visa applications and travel documentation</li>
<li>Maintain travel records, monitor spend, flag anomalies to Finance</li>
</ul>
<p><strong>4. Stationery, Equipment & Procurement</strong></p>
<ul>
<li>Own inventory of office stationery, supplies, consumables</li>
<li>Ensure meeting room readiness: AV, whiteboards, booking processes</li>
<li>Track asset lifecycle; coordinate repairs/replacements with IT/Finance</li>
<li>Follow vendor empanelment and PO processes</li>
</ul>
<p><strong>5. Finance, Budget & Reporting</strong></p>
<ul>
<li>Own monthly G&A budget; track actuals vs plan and drive cost efficiency</li>
<li>Prepare monthly P&L reconciliation and share with Finance</li>
<li>Process vendor invoices and ensure timely clearance</li>
<li>Maintain visibility via weekly dashboards and monthly reports</li>
<li>Identify savings without compromising experience quality</li>
</ul>
<p><strong>6.Team Leadership</strong></p>
<ul>
<li>Manage one direct report; provide clear goals, coaching, and feedback</li>
<li>Allocate responsibilities for reliable, repeatable execution</li>
<li>Develop the coordinator for increasing ownership over time</li>
</ul>
<p><strong>Required Skills & Experience</strong></p>
<ul>
<li>8-10 years in office management, facilities, or workplace experience roles; 150+ employee environments preferred</li>
<li>Proven vendor management: contracting, SLAs, renegotiations, performance</li>
<li>Food/cafeteria or hospitality operations experience is highly preferred</li>
<li>Travel desk coordination and business travel logistics</li>
<li>Budget ownership: P&L tracking, invoicing, reconciliation</li>
<li>Experience with building management/real estate stakeholders</li>
<li>Fluent with G-Suite and Excel/Sheets; basic procurement/asset tools</li>
<li>Strong interpersonal and cross-functional influence skills</li>
<li>High ownership, prioritization, and multi-stream execution</li>
<li>Experience managing junior team members</li>
<li>Bachelor’s degree in business administration, Hospitality Management, or related field preferred</li>
