The ideal candidate will be detail-oriented, personable, and adaptable, excelling at balancing administrative responsibilities with executive assistant duties.</p> <p>&nbsp;</p> <p><strong><u>Summary of Primary Duties and Responsibilities</u></strong></p> <p>The <strong>Office Coordinator</strong> is an in-office position, Monday-Friday 8:00am-5:00pm. This position will report to Director of People &amp; Talent. While not an exhaustive list, the <strong>Office Coordinator</strong> will be responsible for:</p> <p>&nbsp;</p> <p><strong>Front Desk Management:</strong></p> <ul> <li>Answering and directing phone calls promptly, professionally, and to the appropriate department.</li> <li>Greeting visitors and maintaining a welcoming front desk environment.</li> <li>Signing for packages and ensuring timely distribution.</li> <li>Sorting incoming mail, shipping outgoing mail.</li> <li>Scheduling meetings across various departments and coordinating calendars.</li> <li>Assisting with marketing related tasks.</li> <li>Ensure guests are logged.</li> </ul> <p>&nbsp;</p> <p><strong>Office Management:</strong></p> <ul> <li>Coordinate with the building management office for repairs.</li> <li>Parking: Manage employee parking and working with lessor to coordinate.</li> <li>Supplies: Ensure supply room is organized and well-stocked.</li> <li>Kitchen/Snacks: Ensure the kitchen is kept tidy, snacks are ordered when needed and well-stocked.</li> <li>Acting as the company notary (training and certification costs covered by the company).</li> </ul> <p>&nbsp;</p> <p><strong>Administrative Tasks:</strong></p> <ul> <li>Provide administrative support to our Managing Partner and Chief Operating Officer.</li> <li>Performing data entry, review data for errors and compiling information into reports, charts, or graphs.</li> <li>Assisting in scheduling meetings and managing the calendar.</li> <li>Supporting special projects and other assignments as directed.</li> </ul> <p><strong>&nbsp;</strong></p> <p><strong><u>Education and Experience</u></strong></p> <ul> <li>Proven experience in a receptionist or administrative/executive assistant role, ideally in a fast-paced, professional environment.</li> <li>Exceptional organizational and time management skills.</li> <li>Strong written and verbal communication skills.</li> <li>Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).</li> <li>Professional demeanor and ability to handle confidential information with discretion.</li> <li>Notary certification (or willingness to obtain certification; company will cover costs).</li> <li>Bachelor’s degree preferred but not required.</li> </ul> <p>&nbsp;</p> <p><strong><u>Compensation</u></strong></p> <p>This position is non-exempt full time, with Salary Range: <strong>$28-$32/hr </strong>plus discretionary bonus potential</p> <p><strong>&nbsp;</strong></p> <p><strong><u>Benefits</u></strong></p> <p>This position is eligible for the following benefits:</p> <p>&nbsp;</p> <ul> <li>Annual discretionary bonus program.</li> <li>Medical, dental and vision insurance.</li> <li>401K with Safe Harbor contribution.</li> <li>Two weeks (ten days) paid time away excluding sick time.</li> <li>Five sick days.</li> <li>Ten paid holidays</li> <li>One floating holiday.</li> </ul> <p>&nbsp;</p> <p>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;</p> <p><em>Note: This is not an all-inclusive list.
