<p><strong>Overview</strong><strong><br></strong>We're looking for a hands-on, reliable, and welcoming Office Manager to own the day-to-day operational running of our Munich offices. You'll be the person who keeps our workspace clean, well-stocked, and running smoothly so the rest of the team can focus on what they do best.</p>
<p>You'll take full ownership of recurring operational tasks, coordinate daily processes, and act as the go-to point of contact for internal stakeholders and external partners alike. You're motivated, detail-oriented, and take real pride in a well-run space.</p>
<p><strong>Responsibilities and Duties:</strong></p>
<p>Office Operations & Front-of-House</p>
<ul>
<li>Professionally welcome and host guests, partners, and candidates, ensuring a warm and professional first impression.</li>
<li>Serve as the first point of contact for building management and daily service providers such as cleaning.</li>
<li>Manage all incoming and outgoing mail and deliveries, including courier coordination and tracking.</li>
<li>Organise and order office materials, kitchen snacks, and beverages, keeping supplies stocked proactively before items run out.</li>
<li>Set up seating for new hires and plan team seating arrangements in coordination with local POCs.</li>
</ul>
<p>Facility Setup & Maintenance</p>
<ul>
<li>Manage desk allocation, building access, and meeting room coordination on a day-to-day basis.</li>
<li>Oversee small maintenance and repair needs, escalating to the appropriate vendor or building management where required.</li>
<li>Manage the physical security system — key fobs, alarms, and CCTV — and ensure all protocols are followed by staff and visitors.</li>
<li>Support with office layout planning, desk moves, and long-term capacity planning as the company grows.</li>
</ul>
<p>Vendor Management & Budget</p>
<ul>
<li>Own and maintain relationships with landlords, facility management providers, and logistics partners.</li>
<li>Conduct regular performance reviews and quality checks for key vendors including cleaning, HVAC, security, and janitorial services.</li>
<li>Own the office and facilities operating budget — tracking expenses, identifying cost-saving opportunities, and forecasting maintenance needs with support from the finance team.</li>
</ul>
<p>People Team & Training Support</p>
<ul>
<li>Manage local logistics for new hires, including desk readiness and SWAG distribution.</li>
<li>Act as the first point of contact for employee questions on Munich office topics and People Team basics.</li>
<li>Coordinate logistics for internal and external training sessions, including room bookings and materials preparation.</li>
</ul>
<p>Safety & Compliance</p>
<ul>
<li>Take full ownership of Health & Safety compliance across all office locations.</li>
<li>Proactively manage all H&S operational requirements to maintain a safe and compliant workspace for all staff and visitors at all times.</li>
<li>Act as the primary point of contact for all H&S matters and ensure reporting and documentation. </li>
</ul>
<p>Community, Culture & Events</p>
<ul>
<li>Plan and execute internal events — team lunches, Flydays, workshops, and company all-hands — from concept through to delivery.</li>
<li>Foster a positive, inclusive office environment and keep internal Slack channels updated and engaged.</li>
<li>Champion workplace culture, ensuring the office remains a space where people feel welcomed and at home.</li>
</ul>

<p><strong>Qualifications and Skills</strong></p>
<ul>
<li>Friendly and service-oriented, comfortable being a visible, approachable presence in the office.</li>
<li>A hands-on, detail-oriented approach. You take pride in keeping things running and looking great, and nothing slips through the cracks.</li>
<li>Great organizational skills and willingness to implement and improve processes.</li>
<li>Fluency in English and German is essential.</li>
<li>Prior experience in an office, hospitality, facility, or similar operational environment is an advantage.</li>
<li>Proficiency in Google Workspace is an advantage.</li>
