<p><span style="font-size: 12pt;"><strong>Position Summary&nbsp;</strong></span></p> <p><span style="font-size: 12pt;">SCS Financial is seeking a detail-oriented and highly professional Bookkeeping Administrative Associate for the Bill Pay team to support the complex financial needs of our ultra-high-net-worth clients and their families. The ideal candidate brings a high level of discretion, integrity, and a commitment to delivering exceptional service in a fast-paced, confidential environment.</span></p> <p><span style="font-size: 12pt;">This role is based in Portsmouth, NH.</span></p> <p>&nbsp;</p> <p><span style="font-size: 12pt;"><strong>Primary Responsibilities</strong></span></p> <p><span style="font-size: 12pt;">The essential duties of the Bookkeeping Administrative Associate will include, and are not limited to:</span></p> <ul> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Receipt of client post office box mail from courier service and monitoring bookkeeping email inbox for electronic invoices and notices. Opening, sorting, scanning bills (as needed), and uploading to Hubdoc for approval to pay.&nbsp; Forwarding non-bill pay related mail on to other departments (including tax, insurance and other documents).&nbsp;&nbsp;</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Point of contact for all post office client mail related matters.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Responsible for the overall maintenance of electronic filing of bill pay records (copying, scanning, saving and shredding paper).</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Responsible for bill pay client check deposits to various banks utilizing FedEx and Salesforce</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Assembly and processing of bookkeeping department outgoing FedEx packages to clients/vendors</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Assisting bookkeepers in obtaining all necessary approvals prior to payment.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Assisting bookkeepers with various vendor related issues – including but not limited to changing billing addresses, setting up or updating auto-pay accounts, setting up or terminating utility accounts, and researching vendor billing issues.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Assisting bookkeepers with bank, investment and credit card account reconciliations on a monthly basis utilizing QuickBooks.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Assisting bookkeepers with other miscellaneous tasks and projects, as necessary.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Facilitating and implementing technology and process improvement for all aspects of the job (including but not limited to record collection and retention, bill payment, reconciliations).</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Occasional back-up support for reception, as needed.</span></li> </ul> <p><span style="font-size: 12pt;"><strong>Qualifications</strong></span></p> <ul> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Strong working knowledge of QuickBooks and proficiency with Microsoft Office products.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Experience with Salesforce and Hubdoc a plus</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Ability to prioritize work effectively, with a high level of accuracy and keen attention to detail.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Strong organizational and communication skills, both oral and written.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Candidates must display professionalism and exercise the utmost discretion.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Ability and desire to continue to learn and develop</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Ability to spot inefficiencies (internal or external) and work with the team on process improvements</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">College degree preferred with at least 2 years prior experience working with QuickBooks and providing administrative support.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Experience working within Finance business area preferred.</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Desire to develop towards future Bookkeeper position or learning additional Bookkeeper tasks to assist the team</span></li> <li style="font-size: 12pt;"><span style="font-size: 12pt;">Ability to push/pull/lift bulk mail (approximately ≤25 pounds).</span></li> </ul> <p>&nbsp;</p> <p><span style="font-size: 12pt;">This position is a non-exempt, overtime eligible position. The annualized base pay range for this role is expected to be between $50,000–$60,000 base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant’s skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k).
